Return & Refund Policy

At Sumanth Car Rentals, we strive to provide the best possible service to our customers. This Return & Refund Policy outlines the circumstances under which refunds may be issued and the process for requesting a refund.
1. Cancellation Policy
Advance Bookings
For bookings made in advance, the following cancellation charges apply:
- More than 48 hours before pickup: Full refund (minus 5% processing fee)
- 24-48 hours before pickup: 75% refund of the advance amount
- 12-24 hours before pickup: 50% refund of the advance amount
- Less than 12 hours before pickup: No refund
Same-Day Bookings
For same-day bookings, cancellations must be made at least 4 hours before the scheduled pickup time to be eligible for any refund. Cancellations made less than 4 hours before pickup are not eligible for refunds.
2. Refund Process
Refund Request
To request a refund, customers must:
- Contact us via phone at 8660 686 240 or email at sumanthcarrentals@gmail.com
- Provide booking reference number
- State reason for cancellation
- Submit request within 24 hours of cancellation
Refund Timeline
Approved refunds will be processed within 7-10 business days from the date of approval. The refund will be credited to the original payment method used for booking.
3. Non-Refundable Situations
Refunds will not be issued in the following circumstances:
- No-show (customer fails to appear at pickup location without prior cancellation)
- Trip terminated early at customer's request (except in cases of vehicle malfunction)
- Violation of rental terms and conditions
- Damage to vehicle caused by customer negligence
- Unauthorized additional drivers or passengers
- Return of vehicle after agreed duration without prior extension approval
4. Vehicle Issues and Malfunctions
Vehicle Breakdown
In the unlikely event of a vehicle breakdown during your rental:
- Contact our 24/7 support immediately at 8660 686 240
- We will provide a replacement vehicle as soon as possible
- If replacement cannot be provided within 4 hours, you will be entitled to a pro-rated refund for the affected time
- Additional compensation may be provided for significant inconvenience
Vehicle Not as Described
If the vehicle provided does not match the booked specifications:
- Report the issue immediately upon pickup
- We will either provide a suitable replacement or offer a discount
- If no satisfactory resolution is provided, you may cancel with a full refund
5. Force Majeure
Sumanth Car Rentals is not liable for refunds or compensation in cases of force majeure, including but not limited to:
- Natural disasters
- Government restrictions or travel bans
- Civil unrest or strikes
- Weather conditions that make travel unsafe
In such cases, we will work with customers to reschedule bookings without additional charges.
6. Payment Method Refunds
Credit/Debit Card
Refunds to credit or debit cards will be processed back to the original card used for payment. The time taken for the refund to reflect in your account depends on your bank's processing time.
UPI and Net Banking
Refunds to UPI or net banking accounts will be processed to the original account. Please allow 7-10 business days for the refund to reflect.
Cash Payments
For cash payments, refunds will be processed via bank transfer or UPI. Customer must provide valid bank account details for refund processing.
7. Dispute Resolution
If you are dissatisfied with our refund decision, you may:
- Request a review by emailing sumanthcarrentals@gmail.com with subject line "Refund Appeal - [Booking Reference]"
- Provide additional documentation or evidence to support your claim
- Our management team will review and respond within 5 business days
8. Modifications to This Policy
We reserve the right to modify this Return & Refund Policy at any time. Changes will be effective immediately upon posting on our website. We recommend reviewing this policy periodically.
